How to store a credit card for repeat use

There are two ways to store a credit card within Payment WorkSuite:

The basic steps for the two options for storing a repeat customer and credit card are provided below. (Please note that this is not an inclusive list of steps and features; you can contact our Customer Support Team, or utilize our online Knowledge Base, for a more detailed explanation of the processes.)

Storing a Customer and Credit Card independent of the transaction process:

  • Navigate to the Customer Accounts > Customers section.
  • Select the appropriate Merchant and Location where you want to store the customer and card using the “Location Selection” at the top of the page (this is only necessary for accounts with multiple Merchants and/or Locations).
  • Under the “Customers” section, click the “ADD” button to create a new customer record.
  • The required fields, “Customer Name” and “Customer Code,” are designated with an asterisk. Both fields can be used later to help you find the correct credit card that you want to use with your transaction so should be populated with values useful to your company. You can enter additional profile information as desired. (If you store address information with the customer record, the information will ‘copy down’ to each credit card stored under that customer; saving time and repeat key strokes. Note: the stored credit card Billing Address information is sent with the transaction to complete Address Verification Service (AVS), which is required for best interchange qualification.)  
  • Click the “OK” button to save.
  • Navigate to the Customer Accounts > Stored Credit Cards section either by using the left menu option, or by hovering over the Actions radial button for the customer you just created and select “Credit Cards”.
  • Make sure that you have the appropriate Merchant, Location, and Customer selected in the “Customer Selection” at the top of the page.
  • Under the “Credit Cards” section, click the “ADD” button to create a new credit card record.
  • The required fields (“Name on Card”, “Card Number”, “Expiration Month” and “Expiration Year”) are designated with an asterisk. You can enter additional profile information as desired. Please note that the stored credit card Billing Address information (under the Billing Information tab) is sent with the transaction to complete Address Verification Service (AVS), which is required for best interchange qualification. If you stored address information with the customer record, the information will have ‘copied down’ to the credit card record; saving time and repeat key strokes.  
  • Click the “OK” button to save.

Storing a Customer and Credit Card while running a transaction (these steps only focus on the process necessary to store a new customer and card, not the full steps to follow and the suggested fields to fill when running a transaction):

  • Navigate to the EC-Zone > Credit Card Processing > Process Transaction section.
  • Within the Credit Card Information section, populate the “Name on Card”, “Card Number”, “Expiration Month,” and “Expiration Year” fields.
  • Still within the Credit Card Information section, select the “Store Credit Card” check box.
  • A “Customer Name” dropdown selector will appear. Click the dropdown arrow, and select the “ADD” button at the bottom of the list.
  • The required fields (“Customer Name” and “Customer Code”) are designated with an asterisk. Both fields can be used later to help you find the correct credit card that you want to use with your transaction so should be populated with values useful to your company. You can enter additional profile information as desired. (If you store address information with the customer record, the information will ‘copy down’ to each credit card stored under that customer; saving time and repeat key strokes. Note: the stored credit card Billing Address information is sent with the transaction to complete Address Verification Service (AVS), which is required for best interchange qualification.)
  • Click the “OK” button to save. (The newly created customer has now been stored and will appear automatically in your Customer Name dropdown selector).
  • Within the Cardholder Information section, any Billing Address information that you stored with the new customer will have automatically populated. If you did not store a Billing Address with the customer, we highly recommend populating at least the “Address Line 1” and “Postal Code” fields for AVS.
  • Populate any remaining transaction fields and click the “Submit Transaction” button.
  • The new credit card you entered will be stored under the customer profile identified in the transaction.
