How to store a product

Step 1: If applicable, select the appropriate Merchant from the drop-down in the Merchant Selection section.

Step 2: Click the Add button in the Products section of the page. The New Product dialog box will display which contains the Properties tab. This tab provides a location where the user can store information about the product.

Step 3: The Properties tab contains three sections: Product Information, Unit of Measure and Commodity Code.

The following fields are available in the Product Information section:

  • Product Code - An internal designation used to quickly identify and locate a product. This field must be populated in order to save a product. Maximum of 50 characters.
  • Description - A textual description of the product or service. Maximum of 100 characters.
  • Amount - The unit cost of the product or service. This field must be populated in order to save a product.
  • Information - A free-form text box allowing for the storage of addition information about the product or service. Maximum of 500 characters.

Enter information into these fields as appropriate. At a minimum, the Product Code and Amount must be entered.

Step 4: The following fields are available in the Unit of Measure section:

  • Description - A textual description of the unit of measure. This field will auto-populate upon selection or entry of a valid unit of measure. Maximum of 100 characters.
  • UOM Code - The code associated with the unit of measure. This code comes from a universally accepted and standardized list of units of measure. This field must be populated in order to save a product. Maximum of 15 characters.

A Select button is found within the Unit of Measure section allowing for filtering and manual selection of units of measure from a comprehensive list.

Enter or select a valid unit of measure. At a minimum, the UOM Code field must be populated.

Step 5: The following fields are available in the Commodity Code section:

  • Description - A textual description of the commodity code. This field will auto-populate upon selection or entry of a valid commodity code. Maximum of 150 characters.
  • Commodity Code - The commodity code itself. This code comes from a universally accepted and standardized list of commodity codes called the United Nations Standard Products and Services Code (UNSPSC). This field must be populated in order to save a product. Maximum of 12 characters. A minimum of a four-digit code is recommended for best interchange qualification.

A Select button is found within the Commodity Code section allowing for manual selection of commodity codes from a list.

Enter or select a valid commodity code. At a minimum, the Commodity Code field must be populated. A minimum of a four-digit code is recommended for best interchange qualification.

Step 6: Click on the Apply or OK button at the bottom right of the dialog box to save the entered information. Apply will save the information and keep this dialog box open. OK will save the information and close the dialog box. OK will also return the user to the previous page where updated information may be viewed. Cancel will not save any newly entered information and will return the user to the previous page.
